Choosing a manageable number of jobs

The tool comes with twelve default jobs, but you do not need all of them. A good starting point is to choose as many job slots as you have students who need a turn each week, or slightly fewer. If you have 20 students and 14 total slots, six students will be unassigned each week, and the rotation ensures those six get priority the next time.

You can edit, add, or remove jobs at any time. Each job has a name and a slot count, which is how many students are needed for that job. Most jobs need one student, but some, like collecting papers or checking cleanup, may need two.

Twelve practical classroom jobs

Here are plain-language descriptions of approximately twelve jobs you can use. These match the default job list in the tool. Adjust the names or slot counts to fit your classroom.

  • Materials Helper — hands out and collects materials like worksheets, art supplies, or textbooks.
  • Board Helper — erases the board between lessons and helps the teacher write the date or schedule.
  • Library Helper — carries books to and from the school library and keeps the classroom reading corner tidy.
  • Plant Helper — waters classroom plants and checks that they get enough light.
  • Line Leader — leads the class when walking in the hallway and sets the pace.
  • Paper Collector — collects finished worksheets or permission slips and brings them to the teacher. This job has two slots by default.
  • Classroom Greeter — welcomes visitors or the teacher at the door and helps guests feel comfortable.
  • Supply Checker — checks that common supplies like pencils, erasers, and scissors are stocked and organized.
  • Timekeeper — reminds the class when it is time to transition between activities or clean up.
  • Door Holder — holds the door open for classmates when entering or leaving the room.
  • Technology Helper — helps turn devices on or off, distributes tablets or laptops, and makes sure chargers are plugged in.
  • Cleanup Checker — checks that desks, floors, and common areas are tidy at the end of the day. This job has two slots by default.

Choosing the number of students for each job

Each job has a slot count you can set between 1 and 10. Most jobs need one student. Jobs that involve moving around the room or checking multiple areas, like Paper Collector and Cleanup Checker, may work better with two students. The total number of slots across all jobs determines how many students get a job each week. The tool shows the total below the job list.

If you have more students than total slots, some students will be unassigned each week. This is normal and is how the rotation works: unassigned students get priority the following week.

A worked example with six students and four jobs

Suppose you have six students (the following names are fictional examples) and four single-person jobs: Materials Helper, Board Helper, Line Leader, and Timekeeper. That is four total slots for six students, so two students will be unassigned each week.

The tool works as follows. First, it shuffles the active students randomly. Then it sorts them by how many jobs they have already completed, with students who have had fewer completed jobs moved to the front. Ties are broken randomly. It then fills each job slot in order, making sure no student gets more than one job in the same week.

In Week 1, nobody has any completed jobs yet, so the order is random. Maya, Liam, Sofia, and Noah each get one job. Ethan and Ava are unassigned. At this point the week is a draft and does not affect turn counts. Click Mark Completed to commit it.

Week 2 (example, draft)

In Week 2, Ethan and Ava have zero completed jobs, so they get priority. Sofia and Noah each have one completed job, so they are deprioritized and end up unassigned. Over time, the completed turn counts even out, though they will not be perfectly equal every single week.

What happens to students without a job that week

Students who are not assigned a job appear in the Unassigned list for that week. The tool tracks how many jobs each student has completed across all completed weeks. Unassigned students effectively have fewer completed jobs, so they get priority the next time you generate assignments. The Turn Summary card shows the running total for every student based on completed weeks only, so you can check the distribution at a glance.

How completed assignments affect future priority

The tool counts only completed jobs. When you click Generate Draft for a new week, it sorts active students by their completed count in ascending order. Students with fewer completed jobs are placed first in line for available slots. Ties are broken randomly, so two students with the same count have an equal chance.

This means the rotation is self-correcting. If a student was unassigned for two weeks in a row, their completed count stays at zero while others climb, making it very likely they get a job the next time.

Balanced rotation depends on attendance, job availability, and completed assignment history. The tool does not promise perfectly equal totals every week, because absences and random tie-breaking introduce variation. Over multiple weeks, the counts trend toward balance.

Drafts and completed weeks

When you click Generate Draft, the tool creates a new week as a draft. Drafts do not affect turn counts. You can generate as many drafts as you like, delete a draft, or generate again to try a different set, without changing completed history.

When you are happy with a week, click Mark Completed. This commits the assignments to history and updates the turn counts. Completing the same week twice does not double-count it, because the tool uses a stable identifier for each week and only counts it once.

If you change your mind after marking a week completed, click Revert to Draft. The assignments are removed from history and the turn counts go back to what they were. You can then regenerate or adjust.

Handling absences and unfilled slots

Each student has a present or absent toggle. Click the checkmark icon next to a student to mark them absent. Absent students are skipped during assignment for that week. Mark them present again for future weeks.

If absences reduce the number of available students below the total number of job slots, some slots will be unfilled. The tool tells you how many slots were filled and how many students were unassigned. Unfilled slots are simply empty for that week; the tool does not double-assign a student to fill them.

If you mark a student absent after generating a draft, the already-generated assignments are not automatically updated. Generate a new draft when you are ready for the next rotation. Changing attendance does not rewrite previous completed assignments, because completed weeks are stored with their original data.

Copying, printing, and exporting

The tool offers three export options above the assignment history:

  • Copy copies all weeks as plain text to your clipboard, including the week label, each job and student, and the unassigned list. Drafts are labeled as drafts and completed weeks as completed.
  • Print opens your browser print dialog with a clean, formatted chart showing each week, its jobs, and assigned students. Navigation, controls, and styling are hidden in the print output so it is ready to post in your classroom.
  • CSV downloads a spreadsheet file with one row per assignment, including the week label, completion status, job name, and student name. Commas, quotes, and line breaks in names are properly escaped.

Use Reset to clear all weeks and history. The tool asks for confirmation first because this cannot be undone. Your student and job lists are preserved.
